About the Role

Seeking a dynamic and highly skilled Executive Assistant to support the Chief Operating Officer, Digital, within the Digital and Innovation Office. This pivotal role involves being a trusted connector, relationship builder, and key coordinator. The ideal candidate will be intuitive, proactive, solution-oriented, and thrive in a fast-paced environment, demonstrating exceptional organizational and communication skills to ensure the COO and team operate at their highest level.

Responsibilities

  • Manage complex calendar and travel schedules across multiple time zones.
  • Act as a strategic gatekeeper for the COO's time, prioritizing requests.
  • Arrange business travel, prepare itineraries, and process expenses in Concur.
  • Manage agenda during international travel.
  • Liaise with senior executives, customers, partners, and external stakeholders.
  • Serve as a trusted liaison for the Digital & Innovation Office.
  • Review, categorize, and action inbox items for the COO.
  • Implement inbox management approaches, including automation rules.
  • Monitor communication channels (Outlook, Teams, Viva Engage, LinkedIn) and surface critical information.
  • Develop meeting materials, including background research and participant profiles.
  • Prepare briefing packs for key meetings.
  • Organize and execute meetings, distribute actions, and follow up on commitments.
  • Prepare executive summaries from meeting recordings and transcripts.
  • Plan and organize all-hands meetings and high-profile external engagements.
  • Manage venue, catering, AV/video conferencing, IT setup, and security access for events.
  • Support Zoom webinar setup and host all-hands and town hall meetings.
  • Provide program management for strategic projects and employee engagement initiatives.
  • Coordinate special projects and department-wide events, including slide deck creation.
  • Raise purchase orders and manage approvals using Coupa.
  • Facilitate timely approval of invoices and maintain procurement records.
  • Manage delegated approvals across systems and workflows.
  • Track follow-ups on approvals, signatures, and responses.
  • Review and manage travel and expense approvals for the executive with discretion.
  • Build collaborative relationships with Executive Assistants across the company.
  • Contribute to a high-performing EA network.
  • Demonstrate exceptional judgment and act on behalf of the COO when appropriate.
  • Handle sensitive information with professionalism and discretion.
