About the Role

Snowflake is seeking an experienced and strategic self-starter to join the Executive Administration team within the Engineering Organization. This role partners closely with 2-3 Engineering Directors in Europe to strategize, operationalize, and execute administrative functions, creating structure and driving efficiency in a fast-paced environment.

Responsibilities

  • Manage and maintain complex calendars for 2-3 Senior leaders across EMEA and US PST time zones.
  • Coordinate recurring engineering cycles, including staff meetings, technical reviews, updates, and calibrations.
  • Build responsiveness into existing operations and define new regional strategies, such as optimizing onboarding and external event organization.
  • Partner with the US-based Admin team to ensure seamless cross-regional collaboration and alignment on global initiatives.
  • Execute high-visibility events, including Hackathons and team offsites, managing all logistics.
  • Lead projects such as space management and headcount tracking.
  • Manage team budgets, travel, and executive-level expenses.
  • Process invoices, Purchase Orders, and conference-related logistics.
  • Facilitate communication between Berlin/Warsaw-based teams and global stakeholders.
  • Own agendas for All Hands and offsites.
  • Draft internal communications, including newsletters, meeting notes, and action item tracking.

Requirements

  • Bachelor’s degree and 4+ years of relevant work experience in direct executive support, program/project management.
  • Proficient English is required for global collaboration.
  • Strong communication in German is essential for interacting with local vendors, Berlin office logistics, and regional stakeholders.
  • Proven ability to manage time efficiently and prioritize multiple stakeholders in an extremely fast-paced environment.
  • Experience identifying operational gaps and initiating the systems or programs needed to bridge them.
  • Extreme attention to detail, highly organized, and responsive.
  • Very strong interpersonal, verbal, and written communication skills; comfortable interacting with all levels of management, vendors, and customers.
  • High proficiency with modern collaboration tools and a quick learner of new internal systems.
  • Experience with AI agents will be a plus.

  • Ability to adjust to rapidly emerging/changing priorities and to anticipate the requirements of your execs.
