About the Role
This role involves owning the physical and cultural heartbeat of Pallet's San Francisco headquarters and growing New York office. The Workplace Experience Manager will ensure seamless office operations, create a welcoming environment for employees and visitors, and foster team connection through events. This hands-on, in-office position focuses on operational details and people-centric tasks, starting with the SF headquarters and remotely managing the NYC office expansion.
Responsibilities
- Lead day-to-day operations of the SF headquarters and manage the move into a new 80–100 person space, including layout, build-out coordination, and setup.
- Remotely manage the NYC office, assisting in sourcing and securing a larger space, partnering with leadership and external brokers/vendors until a dedicated NYC lead is hired.
- Own desk setup and workspace readiness for new hires across both offices, collaborating with IT and People Ops.
- Manage relationships with key vendors (WiFi/internet, janitorial, security, building management), including contracts, SLAs, and escalations.
- Maintain both offices as stocked, clean, functional, and on-brand, troubleshooting issues proactively.
- Source, order, and manage office snacks, beverages, and supplies, balancing quality with budget.
- Plan and execute company events, celebrations, and team offsites end-to-end, from venue and vendor selection to logistics, budget, and day-of execution.
- Contribute creatively to building culture and connection across both cities.
- Set up, configure, and manage meeting room and conference room hosting software for smooth booking and AV.
- Serve as the welcoming face of the office, greeting candidates and visitors in partnership with the Recruiting team and Executive Assistant.
Requirements
- 3+ years in workplace experience, office management, facilities, events, or operations, ideally in a fast-growing startup or multi-office environment.
- Experience supporting an office move, build-out, or expansion is a strong plus.
- Excellent organization and project management skills, capable of managing vendors, timelines, and budgets.
- A hospitality mindset, genuinely enjoying making people feel welcome and cared for.
- Comfort managing a remote site and coordinating logistics from a distance.
- Strong communication skills and ability to partner cross-functionally with People, IT, Recruiting, and leadership.
- Hands-on, proactive, and resourceful approach.
- Comfortable working in office 5 days a week in SF, with occasional travel to NYC.
Skills
- Familiarity with meeting room / desk booking and visitor management tools.
- Experience negotiating commercial leases or working with real estate brokers.
- A network of reliable vendors and event partners in SF and/or NYC.
