About the Role
This role is at the heart of the business, shaping a seamless, welcoming, and high-performing office environment while providing first-class support to employees, senior leaders, clients, and stakeholders. You will be the central hub of the office, ensuring smooth day-to-day operations and creating a supportive space for success. You will lead by example to ensure the office operates efficiently and reflects ARM’s values.
Responsibilities
- Serve as the first point of contact for the agency.
- Manage the FOH Coordinator (London) and Office Coordinator (Leeds).
- Ensure the office is operating smoothly and is tidy for visitors and staff.
- Handle restaurant bookings and catering requests.
- Actively participate in the EDI committee.
- Collaborate with IT to provide support and manage stock levels.
- Manage the switchboard, greet visitors, and set up meeting rooms.
- Assist with onboarding, including sorting access fobs, working with IT, and conducting office tours.
- Take minutes on external calls.
- Complete ad-hoc office requests for Leeds and Amsterdam.
- Accurately track all costs associated with office management.
- Be responsible for office Health & Safety.
- Act as Fire warden and maintain first aid training.
- Oversee PAT testing, fire risk assessments, and fire extinguisher servicing.
- Work closely with third-party suppliers for cleaning, office maintenance, building management, and AV management.
- Oversee supplier contracts, services, and resolve issues.
- Lead the organization and execution of company events, including the agency's bi-annual Away Day.
- Manage and track costs and budgets for events.
- Proactively manage and coordinate the diaries of the MD, CEO, and CSO.
- Track and submit expenses.
- Provide comprehensive support to the SLT as needed.
- Coordinate domestic and international travel, including flights, trains, and accommodation.
- Manage VISA applications and travel documents, ensuring compliance with entry requirements.
- Handle personal data responsibly in line with company policies, ensuring secure and appropriate management of information.
- Stay up-to-date with best practices, including completing annual GDPR training.
Requirements
- 2–3 years of experience in office management, PA, or a similar operational role.
- Exceptional organizational skills with the ability to manage multiple priorities seamlessly.
- Strong attention to detail with a hands-on and solution-focused approach.
- Confidence working with senior leaders and stakeholders at all levels.
- Excellent written and verbal communication skills.
- Experience managing suppliers, office operations, and events.
- Tech-savvy with the ability to quickly learn new systems and tools.
- Resilient, adaptable, and able to remain calm in a fast-paced, ever-changing environment.
- Proactive mindset with a passion for improving processes and ways of working.
- High levels of discretion and professionalism when handling sensitive information.
