About the Role
Manage the day-to-day administration of the firm’s experience management system, Litera Foundation, including overseeing end-user training, onboarding, user adoption programs, and communications, in collaboration with team members across all business services and legal departments. Ensure effective configuration, customization, and ongoing enhancements of the system to fully leverage all system capabilities and business partners in support of firm business plans and objectives. Oversee data quality and content, data integrations and system taxonomies, and provide technical support and training for all system users.
Responsibilities
- Serve as the business owner of the firm’s experience management system.
- Oversee day-to-day administration, configuration, enhancements, and system performance across experience, expertise, and proposal modules.
- Lead backend configuration and approved enhancements within Litera Foundation, ensuring timely, accurate, and scalable implementation.
- Project manage firm-wide platform rollouts, upgrades, and major enhancements.
- Oversee the capture, curation, and maintenance of accurate experience data, including client, matter, and personnel profiles, matter profiling, and narrative approval workflows.
- Establish and enforce data quality standards, taxonomies, and validation processes, ensuring consistency across integrations and imports.
- Partner with Data Services and IT to define and implement data governance frameworks that support downstream analytics, reporting, and AI use cases.
- Design and continuously evolve automated workflows and intake mechanisms to efficiently capture experience information from lawyers and business professionals.
- Analyze and optimize workflows to improve efficiency, scalability, usability, and data integrity, maintaining clear documentation of processes and systems.
- Champion process improvement and operational scalability across the experience management lifecycle.
- Leverage firm-licensed AI platforms to support the capture, transformation, and reuse of work product into actionable, client-ready experience data.
- Ensure the experience platform is AI-ready, with structured, governed data that enables advanced analytics, narrative generation, and insight development.
- Develop and maintain experience reports, dashboards, and analytics that highlight firm capabilities, trends, and opportunities for new business and cross-selling.
- Define and implement KPIs and performance metrics to measure platform adoption, data quality, and business impact, using insights to drive continuous improvement.
- Design and oversee end-user training, onboarding, and adoption programs, ensuring effective use of the platform across the firm.
- Lead change management efforts that promote consistent adoption, data stewardship, and a culture of knowledge sharing.
- Work closely with lawyers and business stakeholders to gather requirements and translate needs into actionable technology solutions.
- Manage relationships with vendors and external service providers, ensuring high performance, accountability, and service quality.
- Partner with IT, vendors, and third parties to manage integrations, resolve system-level issues, and implement upgrades and enhancements.
- Respond to internal and external inquiries related to the experience management system and experience data.
- Perform special projects and other duties as assigned.
Requirements
- Minimum three (3) years of experience administering Litera Foundation or similar experience management platforms.
- Experience supporting marketing technology, knowledge management, analytics, or related functions in a law firm or professional services firm.
- Advanced proficiency in Microsoft Office, particularly Excel.
- Bachelor’s degree in business, marketing and communications, data/information science, or a related field.
- Familiarity with labor and employment law a plus.
