About the Role

The Staff Accountant, Account Payable, will input accounts payable, credit card expenses, petty cash, and all expense reports, pay all invoices, reconcile cash, and perform other general ledger accounting tasks as needed, to support the month or year-end close.

Responsibilities

  • Follow established policies for new vendor account setup in MIP.
  • Input monthly accounts payable expenses into MIP, coding based on funding sources.
  • Review, verify, and process vendor invoices.
  • Match invoices with purchase orders or receipts.
  • Enter department allocations for utilities, insurance, and shared costs.
  • Enter cost allocations to grants following grant budgets.
  • Identify and reconcile discrepancies on vendor invoices.
  • Prepare A/P voucher packages with supporting documents for approval.
  • Prepare expense reports and reimbursements.
  • Prepare checks for invoices, credit card activities, petty cash, and employee reimbursements.
  • Ensure timely processing and payments of vendor invoices per MNHC policies and GAAP.
  • Prepare monthly AP aging reports, ensuring MNHC’s AP cutoff.
  • Maintain accurate accounts payable records and files.
  • Reconcile petty cash and change funds across all MNHC departments monthly.
  • Support audits by providing required documentation.
  • Communicate with vendors regarding payment inquiries.
  • Perform other duties as assigned by the Accounting Manager.

Requirements

  • Five years of general accounting experience.
  • Knowledge of specialized reporting requirements and procedures for financial statements.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with fund accounting software (MIP or Sage 100 preferred).
  • Proficiency with general office equipment (printers, copiers, fax machines).
  • Knowledge of HIPAA and HITECH regulations.
  • Ability to compile and analyze data and prepare summary reports using automated systems.
  • Current immunizations required: Varicella, TDAP, COVID-19, MMR, Hepatitis B.
  • TB test results valid within the last two years required.

Salary/Compensations

  • Hourly range: $38.49 - $41.39
