About the Role
The Project Administrator provides administrative and operational support to the Project Director and Project Manager within the Construction & Development Department. This role also involves general clerical support for office operations, reporting to the Director of Construction.
Responsibilities
- Provide office administrative duties including scanning, printing, filing, travel arrangements, running errands, and processing mail.
- Keep Project Manager informed by reviewing reports, summarizing information, and identifying trends.
- Prepare and draft subcontractor contracts.
- Communicate with vendors on procurement matters.
- Research materials based on Project Manager requests.
- Write purchase orders.
- Prepare, process, and track invoices through accounting.
- Coordinate time card submission for line staff and field supervisors.
- Clean work area and coordinate office housekeeping.
- Perform other duties as assigned by management.
- Demonstrate flexibility and ability to pivot to new projects in a fast-paced environment.
Requirements
- Minimum 5 years of related work experience.
- Experience working in an environment with rapidly shifting priorities, demands, and timelines.
- Ability to work flexible hours as needed due to business demands.
- Ability to work in a team environment.
- Ability to stay calm and focused during busy periods.
- Ability to read, write, speak, and understand English.
- Ability to work a flexible schedule, including evenings, weekends, holidays, and shifts greater than eight hours.
