About the Role

This role supports the Austin Midtown team, fostering a collaborative, patient-centered environment where teamwork, respect, and accountability are paramount. Responsibilities include efficiently scheduling patient appointments and tests, responding to incoming scheduling calls, and potentially managing outside or surgical scheduling. The role requires adherence to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities

Efficiently schedule new patients, patient referrals, and returning patients in the computer system according to physician and office guidelines.
Cancel and reschedule appointments based on physician schedule changes, notifying appropriate clinic personnel.
Meet with patients to schedule all future appointments, procedures, or other required exams.
Utilize a dedicated program to triage and respond to all incoming scheduling calls timely and accurately.
Accurately schedule appointments while multi-tasking in a fast-paced medical office.
Ensure all authorizations and referrals are obtained and correctly attached to appointments to prevent denials or payment delays.
Maintain the primary office scheduling template, including all physician meetings, satellite schedules, rounding, and call coverage.
Arrange financial counseling for patients as needed.
Demonstrate an understanding of patient confidentiality to protect the patient and clinic/practice.
Follow policies and procedures to contribute to front office efficiency and cover other front office functions as requested.
Prepare correspondence, memos, forms, and other typing as requested by the supervisor.
Schedule outpatient appointments, testing, surgeries, and hospital admissions upon request, obtaining necessary pre-certification.
Communicate with patients about scheduled surgeries or tests, including potential prep work, inquire about test specifics from necessary parties, and gather patient information as needed.
Possess a basic understanding of medical terminology for tests and surgical procedures, including coding and the ability to look up codes specific to diagnosis, surgery, and scheduling procedures.

Requirements

Regularly required to sit and use hands to finger, handle, or feel.
Occasionally required to stand, walk, and reach with hands and arms.
Occasionally lift and/or move up to 30 pounds.
Requires vision and hearing corrected to normal ranges.
Work requires frequent interaction with patients and staff.

Skills

Ability to accurately schedule appointments while multi-tasking
Basic understanding of medical terminology for tests and surgical procedures
