About the Role
The Workplace Coordinator serves as the operational heartbeat of the Toronto office, partnering with the Executive & Events Manager to ensure smooth daily operations, facilities management, and a positive team culture.
Responsibilities
- Provide day-to-day operational support in partnership with the Office Manager
- Maintain filing systems and manage routine documentation, renewals, and records
- Support operational tracking, reporting, and ad hoc administrative tasks
- Coordinate building maintenance, repairs, and service requests
- Liaise professionally with property management and external vendors
- Attend vendor meetings and follow up on routine matters
- Oversee seasonal upkeep of shared office and outdoor spaces
- Act as a point of contact for building matters, including open/close procedures, parking, and access protocols
- Support coordination of fire drills, emergency procedures, and safety practices
- Manage purchasing and inventory of office supplies and equipment
- Assist with sourcing for furnishings and other operational needs
- Maintain recurring inventory tracking and reporting
- Serve as a liaison for internal coordination needs across teams
- Chair the social committee to foster a positive and connected workplace
- Contribute ideas to continuously improve office practices and processes
Requirements
- Experience in an office coordination, operations, or facilities support role
- Strong organizational and time-management skills
- Proficiency with Microsoft Office and standard office tools
- Comfortable managing recurring responsibilities with guidance and collaboration
- Confidence interacting with vendors and external service providers
- Ability to handle confidential information with discretion
- Energetic and action-oriented mindset
- Flexible and calm when priorities shift
- Hands-on and practical approach to problem-solving
- Reliable team player comfortable supporting leadership
