About the Role

We are seeking a vibrant and organised Workplace Experience Manager to champion our office culture, operations, and environment. This role is responsible for seamless day-to-day operations, front-of-house hospitality, planning engaging team events, and driving well-being initiatives. You will collaborate closely with local leadership, global teams, and departmental heads to design a productive, safe, and welcoming workspace where our people can thrive.

Responsibilities

  • Plan, execute, and coordinate a variety of in-office events, including team-building activities, workshops, celebrations, and updates.
  • Collaborate with department heads to understand their team's specific needs and preferences for events.
  • Develop and implement strategies to boost employee engagement and satisfaction.
  • Gather employee feedback through surveys and regular communication to continually improve the office experience.
  • Oversee day-to-day office operations, including office supplies, equipment maintenance, mail, couriers, and overall cleanliness.
  • Coordinate catering, office supplies, and vendor deliveries.
  • Manage meeting rooms, the room booking system, and help facilitate IT equipment.
  • Continuously assess and optimize the workspace for efficiency and employee comfort.
  • Handle basic financial administration, including expense processing and invoice coordination.
  • Manage the reception area to provide a warm and professional welcome to all visitors and guests.
  • Coordinate visitor access, sign-ins, and pass distribution for a seamless front-of-house experience.
  • Ensure a positive experience for visitors by managing meeting room scheduling and catering services.
  • Address all visitor needs promptly and professionally.
  • Coordinate social and well-being initiatives to enhance employee satisfaction and work-life balance.
  • Coordinate wellness programs, mindfulness sessions, and other activities that contribute to a positive workplace culture.
  • Coordinate social groups and activities across multiple office locations.
  • Facilitate the onboarding process for new employees, ensuring a smooth, welcoming experience and providing resources to help them integrate into the company culture.
  • Ensure strict compliance with health and safety regulations by conducting regular risk assessments.
  • Coordinate emergency response plans and drills while keeping employees informed and prepared.
  • Collaborate with leadership to design and optimize workspaces for maximum productivity and collaboration.
  • Implement ergonomic solutions to enhance overall employee well-being.
  • Stay informed about the latest office technologies and recommend solutions for improved efficiency.
  • Collaborate with the IT department to address and resolve technology-related issues in the office.
  • Collaborate effectively with global teams.

Requirements

  • 3–5+ years of experience in Office Management, Workplace Experience, Corporate Hospitality, or a similar operations-focused role.
  • Proven experience managing corporate office facilities, tracking supplies, and coordinating with external vendors and couriers.
  • Experience planning and running in-office events, workshops, team-building activities, and employee wellness programs.
  • Strong reception and visitor management skills to provide a warm, professional welcome to guests.
  • Ability to facilitate a smooth, welcoming orientation experience for new team members.
  • Confident handling basic financial tasks like invoice coordination and expense processing.
  • Solid understanding of workplace health and safety regulations, risk assessments, emergency planning, and ergonomic setups.
  • Savvy with office technologies and booking systems, with the ability to partner with IT to resolve equipment issues.
  • Excellent interpersonal skills to gather employee feedback via surveys and collaborate with leadership and global teams.
