About the Role
The Program Administrator, GRI is a full-time role supporting research-related activities for faculty and graduate students at NYU Berlin's Academic Center. This position serves as the primary on-site contact for visitors, ensuring the smooth operation of the Global Research Initiatives (GRI) program through operational guidance, support, and coordination of events.
Responsibilities
- Provide hands-on support during conferences, workshops, events, and other GRI programming.
- Facilitate visits of faculty, staff, and guests by serving as a liaison.
- Ensure the smooth functioning of the site and integration of operations with university policies.
- Communicate necessary repairs to vendors and supervise services.
- Monitor GRI-related expenses and prepare annual budgets.
- Maintain office supplies, manage mail and email correspondence, and provide phone support.
- Support GRI faculty and graduate students with visa applications, city registration, housing, and local university contacts.
- Organize programming, dinners, and receptions for GRI fellows.
- Assist the undergraduate Academics staff in running the Reading Room, organizing alumni events, and producing publications.
- Perform other tasks as assigned by the Program Manager and Site Director.
Requirements
- Successful completion of a Bachelor’s Degree.
- Minimum of 2 years of experience in administration or equivalent areas.
- Previous experience living, working, or studying abroad (preferably in North America).
- A valid work permit for Germany valid through July 2028.
- Unrestricted right to work and live in Germany prior to appointment.

- Outstanding German and English language skills (bilingual preferred).
- Excellent intercultural and interpersonal communication skills.
- Confident public speaker and presenter.
- Refined writing skills (in both English and German).
- Service excellence and delivery of high-quality solutions.
- Strong ability to prioritize and multi-task.
- Creative, positive, and proactive approach towards problem solving.
- Ability to organize and deliver academic events for up to 100 participants.
- High level of flexibility and attention to detail.
- Strong sense of teamwork and ability to work independently.
- Ability to work on some Saturdays per year.
- Familiarity with presentation/classroom/office technology.
- Familiarity with macOS, Microsoft Windows, Google Suite and Microsoft Office.
- Previous experience working in an academic and research-oriented environment (preferred).
- Genuine interest in getting to know diverse international students and lecturers (preferred).
- Experience with Adobe Creative Suite (preferred).
