About the Role
The Events Coordinator plays a key role in supporting planning, coordination, and execution for meetings and events at client sites. This individual acts as the liaison between the Client’s employees or Client’s Events Team, partnering to coordinate all logistics. This includes aligning on event expectations, themes, and details, as well as coordinating with outside vendors, internal teams, and key client stakeholders. We are seeking a passionate and driven professional to act as a key point-of-contact. The ideal candidate will be a motivated individual who is highly organized, a strong communicator, and adaptable to the client’s everchanging needs.
Responsibilities
- Oversee end-to-end event coordination, including planning, execution, troubleshooting, breakdown, and feedback collection.
- Serve as the daily point of contact for employees, hosts, and clients regarding meetings and events.
- Support development and implementation of standard operating procedures and protocols aligned with client objectives.
- Report event attendee feedback to leadership to improve operational efficiencies.
- Support process and procedure improvements for event hosts and attendees.
- Communicate clearly and effectively with all stakeholders.
- Partner with internal teams (Janitorial, Facilities Management, AV, Catering, Security, Reception) to address all event aspects.
- Maintain knowledge of rooms, configurations, AV/technology, and amenities; provide recommendations based on user needs.
- Provide "White Glove" service to executives and key stakeholders.
- Ensure prompt and efficient follow-up on issues and requests.
- Execute seating arrangements, room set-up, décor, signage, and other event host needs.
- Abide by escalation protocols and understand cross-functional team responsibilities.
Requirements
- Experience with face-to-face customer interaction.
- Strong attention to detail.
- Ability to accommodate irregular and/or extended hours.
- Strong verbal and written communication skills.
- Ability to work in a fast-paced, high-volume environment.
- Foundational computer experience, including proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Ability to interact with clients and customers at all organizational levels.
- Ability to prioritize and multi-task.
- Ability to repetitively lift 40 pounds.
- Ability to frequently reach, bend, stand, and sit for prolonged periods.
- Minimum 2 years of related work experience in event planning, corporate events, hospitality, stage management, restaurant/bar operations, workplace experience, or high-touch service environments requiring end-to-end event coordination and execution.
