About the Role
This part-time position is for a Physical Therapy and Fitness Center Receptionist and Rehab Aide, working within the Fitness Center Front Office at the 1021 location.
Responsibilities
- Greet and welcome patients, staff, and visitors to the gym and wellness center.
- Respond to questions and concerns from gym and wellness center guests.
- Input members into gym software, check in members, verify active status, and assist with billing.
- Collect, confirm, and input all insurance information.
- Maintain a high level of ethical behavior when interacting with patients and staff.
- Collect fees for gym memberships and physical therapy copayments.
- Maintain and transmit correspondence or medical records via mail, phone, email, or fax.
- Assist patients in identifying and overcoming barriers to attending appointments, such as transportation or financial constraints.
- Coordinate with insurance providers to clarify coverage and guide patients through payment options or financial assistance programs.
- Schedule initial evaluations, re-evaluations, and follow-up appointments.
- Interview patients to complete documents, case histories, or forms.
- Input prior authorization requirements into Physical Therapy referrals.
- Coordinate with patients, physical therapists, and physical therapist assistants to ensure timely care and availability.
- Conduct follow-up calls to ensure patients adhere to therapy plans and answer progress questions.
- Protect patient rights by maintaining confidentiality of personal and financial information, compliant with HIPAA guidelines.
- Assist patients with exercises and activities as directed by therapists.
- Help patients move to and from therapy areas.
- Set up and clean facility, therapy, and gym equipment.
- Monitor and document patient progress.
- Maintain a clean and safe environment for patients.
- Assist therapists with treatment plan preparation.
- Provide emotional support and encouragement to patients.
- Receive and route messages or documents to appropriate staff.
- Provide visible communications regarding operational changes.
- Ensure patients have active referrals and accurately process prior authorizations, assisting patients and responding to triages promptly.
- Utilize interpretation services for patients requiring interpretation.
- Perform opening and/or closing tasks for the gym and wellness center.
- Coordinate with gym instructors on class times and maintain class attendance.
- Maintain up-to-date data on prior authorization requirements quarterly.
Requirements
- High School graduate or GED equivalent.
- At least one year working in an office setting.
- Direct experience in a primary care setting preferred.
- Experience or working knowledge of EMR systems.
