About the Role
Wedlake Bell's Art & Luxury practice is seeking an experienced Legal Secretary to provide one-to-one support to a leading Partner. This role involves a blend of legal secretarial and personal assistant duties in a fast-paced environment.
Responsibilities
- Proactively manage the Partner's diary, schedule meetings, and resolve conflicts.
- Prepare meeting agendas and documents, take minutes, and track actionable follow-up items.
- Arrange detailed domestic and international travel plans.
- Screen and prioritize incoming communications, draft correspondence, and act as a key client contact.
- Manage personal appointments, run occasional personal errands, and coordinate private events or dining.
- Support the preparation and management of legal documents, business development materials, presentations, and correspondence.
- Open, maintain, and organize files using iManage, ensuring compliance with procedures and standards.
- Diarize deadlines and manage upwards to ensure timely completion of work.
- Track workflow and maintain lists of key matters, deadlines, and priorities.
- Respond promptly to internal and external correspondence, address routine queries, and manage expectations.
- Coordinate the billing process by opening matters via 3E Elite, liaising with Accounts & Finance, and finalizing invoices.
- Maintain billing summaries and track WIP, debt, and collections for partner matters.
- Send payment acknowledgments.
- Draft and manage daily time entries via Intapp, providing weekly reports.
- Maintain Business Development information via CRM (Interaction) and various trackers.
- Organize client events with support from the Marketing & BD team.
- Process and track expenses weekly, maintaining digital records and reconciliations.
- Perform other ad-hoc duties as required.
Requirements
- Strong experience as a Legal Secretary (at least five years) in a fast-paced law firm.
- Experience providing one-to-one secretarial support is ideal.
- Exceptional organizational skills with the ability to prioritize tasks effectively under tight deadlines.
- Fast, accurate typing skills with high standards of written English and grammar.
- Exceptional communication skills, both written and verbal, with an emphasis on client service.
- Proficiency in Microsoft Office Suite.
- Familiarity with legal document management systems or other key software (iManage, 3E Elite, InterAction, BigHand, etc.).
- Keen attention to detail and a commitment to accuracy.
- Discretion and personal integrity in handling confidential information.
