About the Role
The Experience Ambassador & Facility Coordinator serves as the sole onsite point of contact responsible for reception operations, facilities coordination, vendor management, workplace activations, and dual-entity financial administration. This high-visibility role requires strong operational ownership, structured prioritization, and the ability to manage concurrent responsibilities in a fast-paced corporate environment.
Responsibilities
- Manage the front door area and visitors welcoming and guiding
- Maintain professional front-of-house presence
- Provide access coordination and guest support
- Handle mail and courier management
- Deliver responsive yet structured employee support
- Liaise with Landlord/BMO as a tenant perspective
- Coordinate facilities maintenance and vendor servicing
- Liaise with building management and contractors
- Oversee pantry, stationery, and operational inventory
- Monitor monthly operational spend and cost tracking
- Ensure workplace compliance and safety procedures
- Responding Client's request per F&RE related tasks and conduct ad-hoc
- Support internal events and weekly Bar Night logistics
- Manage vendor setup and guest coordination
- Provide coordination for Diageo departments
- Support basic AV coordination where required
- Create Purchase Orders in JDE (JLL)
- Generate monthly IFM client billing invoices via Coupa Supplier Portal (JLL)
- Raise corresponding Purchase Orders in Coupa (Client's)
- Process invoices and submit Goods Receipts
- Coordinate finance approvals and payment timelines
- Track operational budgets and ensure documentation accuracy
