About the Role

This high-impact role provides strategic oversight of the Animal Relocation fleet, collaborating with Procurement, Facilities, Fleet, and key internal and external vendors. The position is responsible for proactive lifecycle management of all vehicles, ensuring meticulous maintenance, tracking, stocking, and adherence to the highest safety and performance standards. The ASPCA’s Animal Relocation department provides lifesaving animal transport from under-resourced shelters to areas with higher adoption rates. A critical priority is ensuring continuous availability and operational readiness of the fleet for seamless, nationwide humane animal transport. This role executes comprehensive asset and inventory management, overseeing equipment selection, procurement, and optimal stocking levels across six waystations/storage facilities and the Irving Park Warehouse. This vital role directly advances the mission by safeguarding transport operations continuity and animal welfare. The role reports to the Director, Relocation – Logistics, and has one direct report.

Responsibilities

Oversee fleet management, ensuring compliance with regulatory and ASPCA safety standards and continuous vehicle availability through preventative maintenance.
Participate in professional development to enhance vehicle management skills and stay current with best practices and technology.
Maintain positive relationships and efficient communication with vendors and internal stakeholders.
Build and maintain a nationwide database of trusted vendors for vehicle repairs and maintenance.
Collaborate with the ASPCA Fleet Manager and Logistics team to ensure proper maintenance and placement of licenses, registrations, passes, and equipment.
Lead procurement, tracking, and maintenance of program assets and supplies, including implementing updated technology.
Ensure functionality, inspection, updates, and monitoring of fleet safety systems, including temperature alarms, remote monitoring, and tracking databases.
Lead end-to-end inventory management for 23+ vehicles and 11 facilities.
Support the Flight Manager in optimizing animal relocation processes and resolving logistical challenges related to crate inventory, procurement, and vendor relations.
Serve as the primary contact for vehicle monitoring and updates, staying informed on vehicle developments to guide conveyance decisions.
Partner with leadership to develop, monitor, and implement Standard Operating Procedures, training materials, standards, and infrastructure for the Relocation team.
Review and process vehicle incident reports.
Review and oversee grants management, vehicle expense reports, and vendor management.
Support leadership and the department's work with internal and external committees to advance animal welfare and implement action plans.
Support direct reports through regular feedback, career conversations, annual performance evaluations, and ongoing check-ins.
Foster an environment that promotes productive engagement and communication with internal and external partners and stakeholders.
Lead with care for the safety and well-being of self, animals, and others, particularly in stressful situations.
Learn and demonstrate proficiency in driver travel, scheduling, and route planning systems to support logistics and driver teams, including after-hours issue resolution.
Ensure the driving team adheres to safety and emergency protocols for humane animal transport, complying with internal, municipal, state, and federal regulations.
Coordinate and oversee routine and emergency fleet maintenance and repairs to ensure safe animal transport.
Develop and maintain knowledge of safety requirements for ground and air animal transport and handling.
Establish emergency response protocols and driver training for animal relocation, coordinating with leadership to ensure rigorous safety and welfare compliance.
Ensure complete documentation, proper record maintenance, and continuous system updates.
Implement safety standards to prevent accidents and injuries, comply with OSHA regulations, and meet legal requirements.
Periodically accompany or meet drivers in the field to provide evaluation, coaching, and training on fleet and vehicle management standards.

Requirements

Demonstrated ability to use inventory systems, asset management, regulatory compliance, vehicle maintenance, repairs, and fleet management.
Proven ability to build and maintain positive, productive relationships with internal and external stakeholders, collaborate in a team, and work independently.
Strong interpersonal, organizational, written, and oral communication skills.
Strong time management skills with ability to prioritize multiple projects and respond to requests.

Fear Free® certified or obtain certification within 60 days of employment.
Ability and willingness to drive approximately 650 miles per day.
Ability to push, pull, and lift equipment and crates up to 50 pounds.
Valid driver’s license upon hire and successful motor vehicle history check.
Ability to obtain and provide a Department of Transportation Medical Certificate.
Willingness and ability to provide all documentation for a Driver Qualification File (DOT and FMCSA) to drive a Commercial Motor Vehicle with a GVWR of 26,000 pounds or less.
