About the Role
This position will be at the core of our in-house Payroll operations utilizing Workday, leading all aspects of payroll, social insurance, tax, and HR operations in Japan. You will focus on standardizing operations and improving data quality with accuracy and timeliness, challenging yourself to build a sustainable operational model not dependent on individuals. Beyond mere operations, this role contributes to the overall productivity of the organization by leading the creation, improvement, and standardization of systems.
Responsibilities
- Execute monthly payroll and bonus calculations, including variable pay, deductions, and retroactive adjustments.
- Consolidate attendance data, verify discrepancies, and follow up on corrections.
- Manage year-end tax adjustments, including collecting applications, checking details, and preparing/distributing withholding tax slips.
- Verify payroll-related data, detecting anomalies, analyzing differences, and performing double-checks.
- Provide payroll data and support accounting processes in collaboration with the Finance department.
- Respond to inquiries from employees and managers regarding payroll.
- Handle social insurance and labor insurance procedures (enrollment/cancellation, dependents, various benefits) in coordination with social insurance labor consultants.
- Manage benefits such as parental leave, childcare leave, and sick leave payments.
- Administer employee benefits programs (Benefit Station, Taisai, group insurance, etc.).
- Process insurance premium payments and manage related events (e.g., health checkups).
- Manage resident tax (special collection) operations, including notifications of changes, data reflection, and distribution of notices.
- Support the creation and submission of tax-related documents (payroll payment reports, statutory reports, etc.).
- Respond to inquiries from tax authorities.
- Manage the operational aspects of onboarding and offboarding, coordinating with social insurance labor consultants, managing documents, and internal adjustments.
- Conduct new employee orientations.
- Manage contract renewals and administration for contract employees.
- Register and update various HR data in Workday and related systems.
- Standardize payroll operations by developing and updating Standard Operating Procedures (SOPs) and checklists.
- Manage the quality of HR and payroll data within Workday.
- Control monthly closing processes and organize responses for exceptions.
- Manage evidence for internal controls and audit responses.
- Propose operational improvements and establish mechanisms to prevent recurrence.
- Coordinate with related departments and social insurance labor consultants to manage issues.
Requirements
- Minimum of 5 years of practical experience in Japanese payroll, social insurance, tax, and year-end adjustments.
- Experience working with external partners such as social insurance labor consultants.
- Proficiency in data processing, reconciliation, and analysis using Excel.
- Awareness of proper handling of personal and confidential information.
- Business-level Japanese language proficiency is essential.
- Reading and writing English, with basic meeting participation ability, is a plus.
- Experience in standardizing/improving payroll operations or implementing/migrating systems is desirable.
- Knowledge/experience with Workday or HRIS and payroll integration is desirable.
- Experience with internal controls and audit response is desirable.
- Experience working in regulated industries such as medical devices or pharmaceuticals is desirable.

- The role primarily leads 'operational control and improvement' in payroll, social insurance, and tax.
- Decisions on exceptional cases and important judgments will be made in coordination with the supervisor.
- On-site work (commuting to the office) is required.
- Business trips may occur a few times a year.
