About the Role
The Workplace Experience Manager serves as the daily steward of the tenant experience across a luxury office building's shared amenities, including the tenant lounge, conference center, fitness center, and ground-floor café. This highly visible role connects tenants, ownership, property management, vendors, and Porter's teams, overseeing tenant programming, amenity activation, space bookings, communications, and daily readiness. The manager ensures shared spaces are polished, responsive, and genuinely useful, blending hospitality with operational rigor to provide amenities that reduce friction, support busy workdays, and perform reliably.
Responsibilities
- Serve as the primary contact for the luxury office building's amenity experience, building strong relationships with tenants and users.
- Support leasing tours as the property's hospitality steward.
- Create a warm, polished, and responsive experience across all shared spaces and tenant touchpoints, managing environmental elements like scent, music, light, and decor.
- Act as the primary contact for tenant inquiries, bookings, hospitality needs, and daily issue resolution.
- Welcome new tenants and employees with clear communication, orientation, and support.
- Ensure the building consistently presents its best for tenants, guests, and prospective tenants.
- Manage the booking and coordination process for shared meeting rooms, conference spaces, lounge use, and tenant events.
- Ensure clear, frictionless, and easy-to-navigate booking processes.
- Coordinate room setup, catering, signage, supplies, vendor logistics, and basic AV readiness with building teams and vendors.
- Provide high-level support for meetings and events to encourage tenant confidence in booking.
- Track usage, tenant feedback, and recurring needs to enhance the booking experience.
- Oversee daily fitness center operations, ensuring cleanliness, stocking, maintenance, and readiness.
- Manage wellness and fitness programming tailored to tenant needs and building usage.
- Coordinate instructors, wellness partners, recovery activations, and vendors.
- Shape a practical, elevated, and accessible fitness and wellness experience.
- Position the gym as a meaningful tenant perk and a key part of the building’s leasing narrative.
- Develop and execute a tenant programming calendar supporting connection, wellbeing, learning, and engagement.
- Focus on community programming including speaker events, skill-building sessions, wellness moments, and hospitality-driven experiences.
- Partner with local businesses, wellness providers, and community organizations for high-quality programming.
- Manage end-to-end event logistics, including budgeting, vendor coordination, setup, execution, breakdown, and reporting.
- Ensure intentional, well-communicated, and valuable programming.
- Partner with the ground floor café to support tenant demand and the building experience.
- Coordinate catering requests and meeting support for tenant events and conference room bookings.
- Integrate food, beverage, and hospitality services into a cohesive daily amenity experience.
- Respond to and share guest feedback on food and beverage experience with the F&B operations team.
- Gather and share tenant feedback on café hours, speed, quality, menu mix, and convenience with partners.
- Support daily hospitality moments to ensure a well-maintained building environment.
- Manage tenant-facing communications for amenities, events, building moments, and updates.
- Create and manage content for newsletters, digital signage, event flyers, collateral, and tenant engagement platforms.
- Ensure timely, clear, polished communications aligned with Porter’s tone and service standards.
- Drive awareness and adoption of shared amenities by informing tenants of availability, functionality, and utility.
- Maintain a strong on-the-ground presence for relational communication.
- Ensure all communications adhere to building and Porter standards.
- Coordinate client communications under strict approval guidelines.
- Maintain high readiness standards across amenity spaces through walk-throughs, checklists, and coordination with partners.
- Manage event and programming budgets, invoices, calendars, and vendor documentation.
- Track KPIs including bookings, attendance, participation, tenant feedback, and amenity utilization.
- Refine programming, services, and communications using tenant feedback and operating data.
- Partner cross-functionally to ensure well-designed and executed amenity experiences.
- Partner with clients to create and manage amenity program budgets.
Requirements
- Strong event execution and operational follow-through.
- Exceptional communication skills (in-person, email, cross-team).
- Outgoing, polished, highly relational, with strong listening skills and sound judgment.
- Comfortable and energized by a visible, tenant-facing role.
- Strong project management skills, capable of managing multiple tasks simultaneously.
- Experience coordinating vendors, managing calendars, budgets, and end-to-end details.
- Keen eye for quality, readiness, and presentation across spaces, service, and communications.
- Ability to work a flexible schedule for events outside standard business hours.
- 6+ years of experience in hospitality, events, workplace experience, tenant experience, amenity operations, or community management.
- Extensive knowledge of San Francisco events, restaurants, attractions, and hotels.
