About the Role

Provides receptionist and clerical support to ensure patient flow, comfort, and satisfaction. Key responsibilities include answering phones, directing calls, scheduling appointments in the EMR system, performing patient data entry, and verifying insurance. The role requires an organized, motivated, customer service-oriented individual with strong communication and computer skills.

Responsibilities

  • Greet patients upon arrival for appointments and initiate necessary paperwork.
  • Complete patient registration, insurance verification, and collect co-payments and outstanding balances.
  • Establish patient payment plans and ensure accuracy of information in billing systems.
  • Correct registration errors by working electronic medical record work queues.
  • Perform electronic and manual insurance verification and process insurance paperwork.
  • Obtain pre-authorization from insurance companies when necessary.
  • Interact with physician offices and third parties to acquire required paperwork.
  • Update patient charts (electronic or paper), obtain patient signatures, file paperwork, and notify clinical associates of patient arrival.
  • Answer a multi-line phone system, screen calls, direct to appropriate associates, and ensure phone coverage.
  • Provide general office and clerical support, including faxing documentation, completing disability forms, FMLA forms, attorney request letters, patient record releases, and various industrial claim forms (C-9s, C-84s, C-86s, Medco 17s, appeal paperwork, retroactive C-9s).
  • Process Industrial claims in the electronic medical record system, attaching dictation and adding diagnosis allowances and authorization numbers.
  • Assist in organizing and filing patient charts, including scanning and docutrack information into EMR.
  • Attend staff meetings.
  • Attend continuing in-house education seminars.
  • Sort, distribute, and mail transcription.
  • Order and stock office supplies.
  • Ensure office equipment is clean and well-maintained.
  • Provide support to staff members as assigned.
  • Focus on safety, quality, and efficiency in performing job duties as a High Reliability Organization (HRO).
