This role serves as the central operational liaison for real-time oversight of clinical research assets—including Mobile Site Vehicles (MSVs), refrigeration systems, medical equipment, and environmental controls—critical to decentralized clinical trials. The ideal candidate brings strong situational awareness, operational composure, and service-minded communication to ensure smooth functioning and responsiveness across field and internal teams. This position is pivotal in enhancing operational efficiency, system reliability, and stakeholder coordination.

Responsibilities

  • Monitor and track real-time statuses of deployed assets (vehicles, refrigeration units, medical equipment, environmental control systems) across multiple platforms.
  • Respond promptly to system alerts, equipment issues, and field requests, coordinating with specialists and stakeholders for efficient resolutions.
  • Accurately document incidents, troubleshooting steps, asset statuses, and resolutions in tracking systems for audit and compliance.
  • Consolidate reports and conduct routine audits of tracking systems and asset management databases to verify accuracy and maintain data integrity.
  • Provide clear, proactive communication to field personnel, cross-functional teams, and leadership regarding asset status and resolution timelines.
  • Oversee asset calibration schedules and maintenance compliance, reporting deviations for corrective action.
  • Assist with additional projects including report design and data maintenance.
  • Participate in system evaluations, quality inspections, and continuous improvement initiatives to refine processes.
  • Analyze operational data to identify patterns and trends, developing recommendations to enhance operational efficiency and reliability.
  • Maintain relationships with field personnel, MSV specialists, and cross-functional teams for seamless collaboration and issue resolution.

Requirements

  • Exceptional attention to detail and documentation accuracy.
  • Strong communication and interpersonal skills for cross-departmental clarity during high-pressure events.
  • Ability to manage multiple priorities and remain composed in dynamic environments.
  • Technical proficiency with monitoring platforms, data systems, and basic diagnostic tools.
  • Organized, proactive, adaptable, and strong time management capabilities.
  • Familiarity with dispatching, telemetry, or centralized operations systems preferred.
  • Minimum 2 years in logistics coordination, central monitoring, dispatch, or similar technical operations.
  • High school diploma required.
  • Associate degree preferred.
