About the Role

This role serves as an Academic & Education Coordinator within the Department of Psychiatry, focusing on learner coordination and academic contribution tracking. The position is crucial for supporting medical education and administrative functions within the hospital.

Responsibilities

  • Coordinate all incoming learners, including liaison, registration, onboarding, scheduling, and ongoing communication.
  • Maintain ongoing communication and collaboration with department, hospital, and university educational staff for all levels of medical training.
  • Attend and support meetings relevant to medical education.
  • Maintain records of use/availability of trainee office space and office equipment related to learners.
  • Maintain records of clinical supervision commitments across programs and psychiatrists to oversee clinical-wide capacity.
  • Track psychiatrists' clinical supervision commitments and provide summaries and reports.
  • Prepare tracking documents for annual academic and education committee meetings by providing psychiatrists with annual supervision reports.
  • Assist psychiatrists with the promotions process through U of T by consolidating necessary documentation and providing summary reports of clinical supervision history.
  • Identify areas of improvement for administrative functionality based on feedback and observation.
  • Act with integrity, honesty, and knowledge to promote the culture, mission, and values of Women's College Hospital.

Requirements

  • Applicants must reside and be legally eligible to work in Ontario.
  • University or College education required.
  • 3 years’ related experience in a medical or academic environment preferred.
  • Excellent organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to relate in a professional manner with all levels of hospital personnel.
  • Ability to multitask proficiently.
  • Demonstrates initiative while working independently, self-motivated.
  • Ability to meet deadlines successfully.
  • Proficiency in Outlook and Microsoft Suite.
  • Excel spreadsheet coding familiarity or expertise.
  • Time management and prioritizing multiple tasks.
  • Ability to prioritize the needs of multiple programs.
  • Working in a collaborative, team environment.
  • Problem-solving within policy requirements.
  • Proven attendance and punctuality.
  • Professional behaviour and communication that meets the standards of the professional regulatory college or association, as applicable, and the standards of Women’s College Hospital.
  • Plays a critical role in acting as an advocate for safety and will demonstrate principles, practices and processes that will optimize a safe environment for all.
  • Employment conditional upon verification of credentials, completion of a health review, and proof of immunity and vaccination status for vaccine-preventable diseases.
  • Successful candidates will be required to complete the Employee, Physician and Volunteer Immunization Record Submission Form and the Pre-Placement Health Review Form prior to commencing employment.
