About the Role

The Workplace Experience Support Specialist supports daily office operations, including visitor management, safety, hospitality, reception, and facilities coordination. This role provides best-in-class hospitality experiences and ensures the office is safe, well-maintained, and clean.

Responsibilities

  • Coordinate with the Office of the Building regarding maintenance issues, forms, documents, special requests, and security information.
  • Reconcile monthly billing for extra services provided by the landlord.
  • Analyze and select service providers based on cost and scope of work.
  • Coordinate office maintenance, including carpet, security systems, HVAC, plant service, furniture, appliances, office equipment, oxygen tanks, and AED units.
  • Review and process invoices for maintenance services.
  • Purchase and maintain inventory of office supplies and equipment.
  • Monitor inventory and reorder materials before depletion.
  • Determine if supplies should be purchased directly or put out to bid.
  • Maintain vendor relationships, process payments, and track total spend.
  • Ensure compliance and implementation of national programs with the Location Services Supervisor or Manager.
  • Assist with the new hire onboarding process, providing necessary office needs and training on local policies and equipment.
  • Provide routine direction and support for mail services, including distribution, courier coordination, and issue resolution.
  • Assist employees with large photocopy, scanning, and binding jobs.
  • Manage client files, including maintenance, ordering from offsite storage, and record retention.
  • Maintain and order office supplies.
  • Manage visitor reception activities, ensuring quality customer service.
  • Coordinate meetings and events, including catering, conference room scheduling, and audio-visual equipment support.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED.
  • 0-2 years of experience in a related field.
  • Intermediate Microsoft Office skills.
  • Ability to respond positively to changing circumstances and drive business improvement.
  • Ability to work collaboratively with Supervisor/Manager, especially during peak times.
  • Able to lift up to 40 lbs.
  • Must be punctual and able to adapt to changing schedules.
