About the Role

Our Common Home Foundation, a registered 501(c)(3) in Delaware, serves as the US hiring and compliance platform for our global network. We are seeking a detail-oriented Operations & Legal Administrator with paralegal training to manage the foundational, legal, and administrative health of this US entity. This varied, part-time role requires rigorous compliance management and high-level executive assistance.

Responsibilities

  • Maintain 501(c)(3) status and ensure full compliance with Delaware state and US federal regulations.
  • Coordinate Board of Directors meetings, including preparing agendas, assembling board materials, and drafting official meeting minutes.
  • Act as the primary liaison with external legal counsel and accounting firms for timely tax return filings (e.g., Form 990).
  • Oversee State Charitable Solicitation Registrations and renewals to support US-based fundraising compliance.
  • Liaise with payroll provider to ensure smooth payroll processing for US-based staff.
  • Provide basic HR and immigration support administration, including tracking visa statuses and coordinating with immigration counsel.
  • Supervise Gusto.
  • Provide high-level secretarial and administrative support to the CEO and a US-based Fundraiser.
  • Manage scheduling, calendar coordination, and basic travel logistics.
  • Assist the fundraiser with administrative tasks related to donor tracking or grant compliance documentation.

Requirements

  • Paralegal training or certification.
  • Strong foundational knowledge of US corporate law, contract review, or non-profit compliance.
  • Prior experience with 501(c)(3) organizations, governance, and charitable registration.
  • Familiarity with basic US payroll, HR practices, or PEO platforms.
  • Exceptional organizational skills to manage a diverse workload.
  • Proficiency with remote work tools.
  • High level of integrity and discretion with confidential organizational, financial, and personnel data.
  • Reasonable overlap with US East Coast working hours.
