About the Role

Supports MSC Management with daily program activities and operational functions, ensuring safe, efficient, and compliant shelter operations. Provides crucial front-line support by maintaining a safe environment, enforcing facility rules, and assisting with daily administrative operations. Acts as a bridge between shelter residents, case managers, and the broader community.

Responsibilities

  • Assist with developing and maintaining informational resources for shelter guests
  • Maintain and update data on current clients and those exiting the shelter systems
  • Greet and assist shelter guests, visitors, and callers; provide basic program information, rules, and expectations
  • Coordinate with case managers, program staff, and external service providers
  • Assist with volunteer coordination, scheduling, and onboarding
  • Prepare accounts payable invoice forms and submit invoice check requests
  • Support management with tracking and maintaining accurate program statistical data, activities, and enter data into the Homeless Management Information System (HMIS) or internal databases, as required
  • Maintain strict confidentiality of client information in accordance with agency and HMIS policies
  • Manage inventory of supplies, coordinate equipment maintenance, and act as the primary point of contact for building management, staff and guests
  • Assist in coordinating workshops, activities, or on-site services
  • Provide administrative support to Site Program Management (reports, summaries, correspondence, memos, flyers)
  • Assist with daily shelter programming, including tracking attendance, participation, and services provided
  • Maintain office systems, office equipment, and streamline workflows
  • Observe and report safety concerns or incidents in a timely manner
  • Follow all emergency procedures and escalation protocols
  • Support equitable distribution of donated goods, clothing, and hygiene supplies to clients
  • Maintain organized filing systems and records
  • Assist with audits, inspections, and compliance reviews
  • Provide written and verbal translation, as needed
  • Perform other duties as assigned

Requirements

  • Strong verbal and written communication skills in English
  • Proficiency in data entry
  • Ability to effectively use a Microsoft Windows–based computer system
  • Ability to multitask, prioritize responsibilities, and maintain a professional and composed demeanor in a fast-paced environment
  • Comfort working within a diverse community, including individuals identifying as LGBTQ+, individuals experiencing mental health challenges, and people from varied cultural and ethnic backgrounds
  • Demonstrated commitment to open, direct, and non-violent communication
  • Strong initiative with the ability to work both independently and collaboratively as part of a team
  • Ability to maintain appropriate professional boundaries with guests, volunteers, and staff
  • Commitment to the mission, values, and service approach of the St. Vincent de Paul Society of San Francisco
  • Covid vaccination with one booster
  • Negative result on TB test
  • Background check completed upon acceptance of job offer
