About the Role

Oversee print and digital galley programs, providing support to Sales and Publishing teams for HarperCollins US Adult Trade and Children’s books. Collaborate with the Associate Director & Assistant Manager of Sales Operations to implement solutions, process improvements, and support key Sales meetings.

Responsibilities

  • Oversee print galley program, including title list identification, system updates, quantity solicitation, inventory tracking, mailings, troubleshooting, discard confirmation, and reporting.
  • Administer digital eGalley and Advanced Listening Copies programs, including title planning, asset management, platform distribution, and stakeholder coordination.
  • Partner cross-functionally to drive timely title launches, optimize workflow, manage access, and resolve operational issues.
  • Curate and oversee distribution of key reading materials and strategic sell-in assets to Sales teams, ensuring timely delivery.
  • Analyze program reporting to identify gaps, issues, and trends.
  • Partner on planning and executing process and system upgrades.
  • Oversee planning of seasonal Launch and Positioning meetings and weekly Title Focus meetings, including logistics, material distribution, invitation management, presentation facilitation, technical support, and session recording.
  • Support Sales Operations initiatives through platform maintenance, process tool optimization, and best practice documentation development.
  • Coordinate ad/promo requests for Sales.

Requirements

  • Minimum of 2 years of relevant professional experience.
  • Excellent organizational skills with high accuracy and attention to detail.
  • Proven ability to prioritize and manage multiple responsibilities in a deadline-driven environment.
  • Working knowledge of virtual meeting platforms and basic technical troubleshooting.
  • Demonstrated ability to work independently and adapt in a fast-paced environment.
  • Extensive experience with Microsoft Excel.
  • Proficiency with Adobe Acrobat, Microsoft Teams, Word, Outlook, and PowerPoint.
  • Familiarity with Edelweiss and NetGalley (preferred).
  • Excellent written and verbal communication skills, with ability to collaborate effectively across diverse teams.
