About the Role
The Patient Services Coordinator provides excellent customer service to patients and ensures the efficiency and attention to detail required in a busy clinic. This role manages the day-to-day patient experience and maintains the administrative support for the clinic by booking appointments, checking patients in, collecting payments, and answering phone calls. While not a supervisory role, it is key to the clinic's operations, requiring multitasking, quick learning, and the ability to remain calm in difficult situations.
Responsibilities
- Book all patient appointments with Physicians, confirm appointments, and reschedule or cancel as necessary.
- Book patient appointments over the phone, in person, and via requests from clinical teams.
- Answer patient questions regarding appointment policies and testing information.
- Communicate details about referred appointments to patients via email or phone.
- Ensure all patient reminders are made and schedules are updated with appointment statuses.
- Answer and transfer incoming phone calls, take messages, and return after-hours calls.
- Keep EMR records up to date with test results and other documents, filing them appropriately.
- Use QuickBooks to invoice patients for medical services and medications.
- Assist with medication inventory and dispensing under nursing supervision.
Requirements
- College diploma and/or Medical Office Assistant diploma.
- Minimum of 2 years of experience as an office assistant, preferably in a busy medical office environment.
- Knowledge of medical terminology is an asset.
- Exposure to in-house medical software, CRM, or databases.
- Experience taking payments through POS systems is an asset.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
