About the Role

The Office Services Coordinator provides day-to-day support for the office, managing common areas, equipment, mail distribution, and reception coverage. This role also supports facility operations and administrative tasks for Analysts and Associates, including travel, expenses, and calendar management. The ideal candidate is highly organized, adept at multitasking, possesses strong customer support skills, and is comfortable interacting with all levels of staff and external clients.

Responsibilities

  • Manage and coordinate logistics for meetings, events, and travel.
  • Ensure supported executives are prepared with necessary materials and information for meetings, events, and travel.
  • Generate reports in Excel and PowerPoint.
  • Prepare expense reports utilizing Concur.
  • Book travel and manage calendars using Outlook.

Requirements

  • 3+ years of administrative support experience in a fast-paced professional environment.
  • Experience in private equity, investment banking, law firm, or professional services is a plus.
  • Proactive and pragmatic approach to problem-solving.
  • Strong attention to detail, follow-up, and organizational skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong sense of urgency, adaptability, flexibility, and resourcefulness.
  • Ability to function professionally under pressure while managing multiple projects and deadlines.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • PowerPoint proficiency is a plus.
  • Excellent interpersonal, written, and verbal communication skills.
  • Occasional after-hours work may be required.
